A missing laptop, an unreturned radio or a tool that cannot be matched to a department can quickly become more than a minor inconvenience. Inventory labels give each physical asset a clear, durable identity, making stocktakes faster, records more accurate and ownership easier to establish when equipment moves around the organisation.
For UK schools, offices, warehouses, healthcare settings and public sector estates, the label is often the physical link between an item and the asset register. If that link fails because the label peels away, fades or cannot be scanned, the value of even the best inventory system is reduced.
What inventory labels need to achieve
An inventory label should do more than display an asset number. It needs to stay attached for the working life expected of the equipment, remain legible in its environment and contain information that staff can use without guesswork.
At a basic level, most labels carry a unique serial number, barcode or QR code. This identifier connects the item to a record in a spreadsheet, asset management platform or stock control system. The record may hold the purchase date, location, assigned user, service history, warranty details and replacement value.
The right specification depends on the asset and how it is used. A label on a desktop monitor in a controlled office has very different demands from one applied to warehouse machinery, outdoor equipment or devices cleaned regularly with chemicals. Choosing on price alone can result in repeated relabelling and unreliable audit data.

Polyester is a common choice for asset identification because it is tough, stable and resistant to scuffs. It suits IT equipment, office furniture, laboratory devices, audiovisual equipment and many indoor operational assets. A good quality permanent adhesive gives reliable adhesion to clean, smooth surfaces such as painted metal, plastic and powder-coated cabinets.
For many organisations, a standard printed polyester asset label offers the best balance of cost, durability and clear barcode scanning. It is also available in a wide range of sizes, so information can be kept readable without overwhelming a small device.
Tamper-evident materials where removal matters
If unauthorised removal or label swapping is a concern, tamper-evident inventory labels are worth considering. Destructible vinyl breaks into small pieces when someone tries to remove it. Void materials leave a visible message or pattern on the item and, in many cases, on the lifted label itself.
These materials are particularly useful for laptops, tablets, specialist tools, hired equipment, stock held in accessible areas and high-value electronics. They do not physically stop theft, but they make concealment and relabelling more difficult while creating clear evidence of interference.
There is a trade-off. Tamper-evident labels are designed not to be moved, so they are less suitable where assets are routinely refurbished, redeployed or returned under lease arrangements. In those cases, a durable standard label alongside accurate transfer records may be more practical.
Conditions that affect adhesion
Labels adhere best to surfaces that are dry, clean and free from oil, polish and dust. Textured plastics, silicone-coated finishes, low-energy plastics and heavily curved items can all require a more considered adhesive choice.

A barcode is only useful when it works with the scanners and software already in place. The first decision is usually whether to use a one-dimensional barcode, such as Code 128, or a two-dimensional QR code.
Code 128 is widely used for asset numbers and works well where the identifier is relatively short. It is compact, familiar and compatible with many handheld scanners. Print quality, size and contrast matter. A barcode that is too small, distorted around a curve or printed in poor contrast can lead to failed scans and manual workarounds. Black codes on a white or light background are usually the safest option. Avoid placing a code too close to a label edge, logo or busy background artwork.
Before placing a full order, test a sample with the actual scanner or mobile application used by staff. This is especially worthwhile where labels are small or include both a barcode and a QR code.
Decide what information belongs on the label
The most effective layouts are clear and restrained. Trying to fit every detail from an asset register onto a small label usually makes the important information harder to find.
A practical inventory label often includes the organisation name or logo, a unique asset number and a scannable code. A short instruction such as “Property of” or “Do not remove” can reinforce ownership. For assets that move between sites, a telephone number or return instruction may help recover misplaced equipment.
Information that changes frequently is usually better kept in the central asset record. Department names, staff names and locations can date quickly, particularly in larger organisations. If these details must be displayed, consider whether the operational benefit outweighs the need to replace labels after every move.
Serial numbering needs careful control. Agree a numbering format before production, check for duplicate sequences and keep a record of the range supplied. Consecutive numbering can make reconciliation straightforward, while non-consecutive references may be needed to match existing asset registers.
Put labels where they can be used
Label placement affects both scanning and security. Staff should be able to find the label quickly during a stocktake, but it should not interfere with ports, ventilation, safety markings, moving parts or product serial numbers.
On laptops and monitors, a rear or underside position is common, provided the label is still accessible without dismantling the equipment. On tools and machinery, choose a flat, protected area away from grips, heat sources and wear points. For cabinets, furniture and larger equipment, a consistent position across the estate saves time during checks.
It is sensible to document placement rules. A one-page instruction for the team applying labels can specify cleaning, positioning, scanning and recording steps. Consistency matters as much as the label itself when hundreds or thousands of assets are involved.

Organisations often need more than one label type. Standard asset labels may suit computers and furniture, while tamper-evident labels are reserved for portable or higher-risk items. Using the same visual identity and numbering logic across both keeps records clearer.
