Asset labels for public sector organisations give each item a durable, visible identity, making routine checks, handovers and investigations far more straightforward.
For councils, schools, NHS facilities, universities and other public bodies, the label is a small part of a much larger control process. It needs to stay attached, scan correctly and provide the information that staff actually use. The cheapest label is rarely the best value if it fades, lifts at the corners or cannot be read when an auditor needs it.

Public sector estates are varied. However, a QR code should not expose confidential information without access controls. It is usually better for the code to contain a reference that leads authorised users to the relevant system, rather than storing sensitive data directly in the code.
The right choice depends on existing processes. Changing barcode format without checking software compatibility creates unnecessary work and can interrupt audits.
Choose a material for the asset, not the catalogue
Label material has a direct effect on lifespan. Office equipment may need a clean, durable polyester label, while machinery, tools and external equipment face moisture, abrasion, cleaning products and temperature changes. A label that is ideal for a monitor may fail quickly on a textured wheeled bin or a frequently handled power tool.
Polyester asset labels are widely used for computers, screens, furniture and indoor equipment because they are hard-wearing and provide good print quality for small text and barcodes. A permanent adhesive gives strong long-term bonding when the surface is clean, dry and smooth.
For curved, uneven or difficult surfaces, adhesive choice deserves particular attention. Powder-coated metal, low-energy plastics, textured cases and painted surfaces can all behave differently. Testing a sample on the actual item is a sensible precaution before committing to a large order, especially where equipment is expensive or difficult to relabel.
Outdoor assets may require a material and print method selected for UV exposure, rain and dirt. Cleaning regimes matter too. Destructible labels break into fragments when someone tries to remove them. They are useful where the aim is to make removal difficult without visibly damaging the item. Void labels leave a patterned message on the surface or within the label when peeled away, giving a clear indication that interference has occurred.
The choice depends on the surface and the intended result. A destructible label is a strong theft deterrent but is not suitable for every textured or curved surface. A void label can provide very obvious evidence of removal, but the residue or message left behind should be acceptable for the asset. For high-value IT, controlled stores, meters or specialist equipment, it is often sensible to test both options.

Make audits quicker from the start

Set a simple application standard before labels arrive. Price matters, especially where budgets are closely managed, but comparing labels by unit cost alone can be misleading. A better brief gives the manufacturer enough information to recommend a practical specification and produce a consistent result.

Confirm the print information carefully, including leading zeroes, departmental wording and logo artwork.
